The
Okefenokee Area Council is excited to offer Internet Rechartering to your
unit. This method for rechartering will make the whole process easier
for you because you'll be completing the charter renewal information yourself -
which ensures that it will be correct - and you can do it from your home
or office, anytime that it's convenient for you.
Here is How it
Works:
A representative for
each unit will be identified as the Renewal Processor. This individual
will use the Internet Charter Renewal system to identify returning
members, add new members, and update information for an individual or the
chartered organization.
Your unit's Renewal
Processor will need to have access to Microsoft Explorer browser in order
for this application to work. They can access the Internet with AOL, but
they must open Internet Explorer browser to view the page correctly.
Each district of the
council will conduct a training session on Internet Rechartering.
The
districts will incorporate this into their Roundtable program plan in
November, and may hold specific sessions to share the information on this
important task. The Renewal Processor from each unit must be in
attendance, and complete the training. Additionally, a tutorial and
on-line help resources are available.
To Renew Your
Unit Charter On-line:
Sixty days before your
unit's expiration date, select a Renewal Processor. This should be
someone in your unit who is familiar with the member and leaders of your
unit to ensure all information provided through the process is correct.
This person also needs access to the Internet using Microsoft Internet
Explorer.
The Renewal Processor
attends the district training session to learn about Internet
Rechartering.
Your unit Charter
Renewal Packet is distributed to the unit leadership as it has been in the
past, but includes an access code specifically assigned to your unit.
Thirty to 45 days
before your unit's expiration date, the Renewal Processor clicks
RECHARTER NOW on this web page and begins the process.
When the online process
is complete, the renewal processor prints the completed charter renewal
application.
The Unit Leader
(Cubmaster, Scoutmaster, or Crew Advisor) and the Chartered Organization
Representative sign the Charter Renewal Application. The signed
application, along with any individual applications for new youth members
or adult leaders, and materials received in the Charter Renewal Packet
(such as the Quality Unit Application), and all appropriate fees should
then be brought or sent to the Council Service Center, or your District's Charter
Turn-In Meeting at the December Roundtable.

Entry of an adult
applicant's Social Security
Number (SSN) by non-BSA
employees may compromise the
privacy of others, increase
the risk of identity theft,
and place the BSA in a
precarious situation in
regard to handling
Personally Identifiable
Information. Beginning this
fall, unit volunteer charter
renewal processors will no
longer be able to enter SSNs
during Internet Rechartering.
The SSN field will be
replaced with an
informational text message
informing the user that SSNs
are required and will be
entered by the council.
The local council will
assume the responsibility
for entering SSNs for new
adult leader applicants once
the renewal has been
submitted through Internet
Rechartering and the
required paperwork has been
received at the council
office.
The current Charter Renewal
process in ScoutNET does not
allow an adult leader
registration to be posted
without a valid SSN, so
implementing this change
will not compromise the
current SSN requirement or
validation.
